What this is

This list provides a simple table for documenting the equipment and tools that will be needed during a project. It should not only list those items, it should capture the indicated information about need dates and responsibilities to ensure that the equipment is available on schedule.


Why it's useful

Created starting the planning phase, it provides a mechanism for thinking through all your tools and equipment needs up front, so that the team can plan ahead with enough lead time, and get into the budget everything that will be needed to do the project.


How to use it

This deliverable is created and updated during the project as follows:

  • In its earliest version, list "big ticket" items related to design alternatives being considered, that will affect project budget and product cost and thus possibly factor into early tradeoff decisions.
  • Refine the list as more planning is done and design alternatives are chosen, and feed information to the product cost and budget estimation efforts. Note that this template is constructed with WBS elements down the left column; this helps make sure the team has thought about equipment and tools for all major tasks.
  • Note: as you think about need dates and ordering/purchasing dates, consider additional lead-time to allow for training of team members on the tools.
  • At the end of your planning phase, update the list for all known equipment, feed updates to product cost and budget, and prepare to use the list as an ongoing management tool.
  • During the project, as further test plans are written and the need for additional tools or equipment become known, add them to the table and make sure information gets into your schedule or milestone list to ensure those new items will be available on time.
